We put a lot of thought into our processes that have been continuously improved over the years with one primary goal in mind that is our clients’ satisfaction. Our tax return preparation process is reliable and has you covered from the moment you first interact with us until your tax return is filed. Here are some key steps to help you understand how we work and what to expect from us and when:

U.S. Tax Return Preparation Process

Information Gathering
Our ability to prepare accurate tax returns depends on the completeness and accuracy of the information you provide to us. A mutually respectful and efficient information gathering process helps us to ensure a quicker turnaround and to avoid surprises at the invoice stage. Please carefully review the expected timing requirements for providing the required information to us – procrastination may cost you more.
The process starts with an information request (usually, a request to fill out an online questionnaire; in some cases, clients choose to drop off their tax package at our office). As part of the process, you will upload all tax documents and slips to our secure information exchange platform Zoho WorkDrive. We place high importance and priority on protecting our clients’ sensitive and confidential information and are using the best possible technology to accomplish that goal. Information Review
Once all requested information is received, U.S. Tax IQ’s team will carefully review it and notify you in case something is missing or if there are any follow-up questions. Please realize that if we have to continually follow-up with you and chase you for the information required to prepare your tax returns, we will incur higher fees and may be unable to prepare your tax return on time. If we have to extend the filing deadline, additional fees may apply. We will communicate with you throughout the process and provide you clear guidance on what to expect from working with us.
Tax Return Preparation
During this stage, our qualified and experienced team gets to work on your tax returns.
Deliverable Stage: Client Review
Our team will deliver to you an electronic copy (in pdf format; protected by Zoho WorkDrive) of your completed tax return for your review. If you’d like to schedule a 15-minute call or meeting to go over your tax return, please reach out to our office.
Deliverable Stage: E-file Authorization
Our team will also deliver to you e-file authorization and/or signature pages (in case of paper filing) (protected by Zoho WorkDrive). Once you sign e-file authorization and/or signature pages, you will provide them to us so that we can file your returns electronically.
Deliverable Stage: Invoice & Payment
At this stage, we will issue an invoice for the services rendered. Please note that we should receive the payment of our invoice before we can e-file your returns. Please plan accordingly.
Tax Return Filing
With limited exceptions, we would file your returns electronically. At a later stage, we would provide you with e-file confirmation for your records. After we filed your taxes, we would ask you to share your experience of working with us to ensure that we continue providing high-quality client service.
Ongoing Tax Advice & Consulting
We will address routine tax authorities’ inquiries at no additional cost. Additional fees may apply to ongoing consulting and tax advice. We will be also available to represent you before the tax authorities on audit if your return is selected for examination (additional fees apply).
Tax Planning Review
Later in the year, we will suggest a 15-minute meeting or video/phone conference to review your taxes and to determine any tax planning opportunities in anticipation of the next tax season. You can schedule the tax planning review with our office after the tax season. Please book early.

Initial Consultation
Our tax consulting process (that includes tax structuring) starts with an initial consultation. During the initial consultation, we will review all facts and circumstances of your situation, review tax issues you are facing, confirm your objectives and priorities, identify any potential tax exposure, provide you with an applicable tax framework, discuss available options, and provide recommendations on available solutions to your tax issues. After the initial consultation, when you decide to retain us, we will send you a retainer invoice (where applicable) and engagement letter. Once you made the payment and signed the engagement letter, we will send you the information request and instructions on the next steps.
As part of the process, you will upload all requested documents and information to our secure information exchange platform – Zoho WorkDrive. We place high importance and priority on protecting our clients’ sensitive and confidential information and are using the best possible technology to accomplish that goal. Preliminary Analysis
Once all requested information is received, U.S. Tax IQ’s team will carefully review it and notify you in case something is missing or if any adjustments are required to the proposed tax strategy discussed during the initial consultation.
Power of Attorney
We will prepare a power of attorney and ask you to sign it. It will be required for us to be able to represent you before the applicable tax authorities.
Analysis & Drafting
During this stage, we will analyze all the information and documents provided to us. We will also draft a submission to the tax authorities (as applicable) or draft our tax advice.
Client Review
We wil ask you to review the facts that are included in the submission. Alternatively, depending on a project, we will provide to you our advice and recommendations. We will also schedule a meeting to go over our recommendations.
Invoice & Payment
At this stage, we will issue an invoice for the services rendered. Please note that we should receive the payment of our invoice before we file your submission with the tax authorities (if applicable). Plan accordingly.
Filing Submission With Tax Authorities / Tax Consulting
We will file the submission with the tax authorities (if applicable). Depending on a project, where retained, we will deliver a memorandum or an opinion to you (as applicable). Alternatively, we will provide advice and guidance as per the engagement letter.
Follow-up With Tax Authorities
Resolving tax matters takes time. Please be patient. Thorughout the process, until we reached a resolution, we will follow-up with the tax authorities and communicate with you on a regular basis.
Case Resolution
Once we resolved the case, we will contact you with the news.
ITIN Process











Due Diligence & Research
We recommend that you do a preliminary research on whether you are eligible to apply for ITIN (common ineligibility factors include the eligibility to apply for U.S. Social Security Number (SSN) or, for example, no U.S. tax filing requirement)). The information in our ITIN Center should assist you in this process. If you have any questions, please reach out to our office before scheduling the ITIN Service. In some cases, we may be able to assist you with applying for ITIN in challenging situations, but you may need to schedule a 15-minute initial consultation for that purpose (see our Initial Consultation process for your reference).
Scheduling & Payment
After you have decided to work with us, you will need to schedule the ITIN service (in person or via video conference (certain requirements apply)) and make the payment at the time of scheduling. If your matter is urgent, but there is no earlier availability based on the schedule provided, please book the earliest day/time possible, but indicate in the comments that you need to schedule the appointment sooner. We will do our best to accommodate your request.
ITIN Questionnaire
Once you have scheduled the ITIN service and made the payment, you will receive a link to complete an online ITIN Questionnaire. Please fill out the ITIN Questionnaire at least one day prior to the scheduled meeting. We will be using the completed ITIN Questionnaire to prepare the necessary documents for your signature.
Additional Documents
You will need to bring your original passport (not expired) to the meeting. Depending on your situation and whether we are preparing your U.S. tax return and other submissions, you may need to bring an originally signed tax return to the meeting or request a supporting letter from a U.S. withholding agent (usually, this would be an entity that asked you to provide an ITIN). In addition, you may need to bring other supporting documents, such as closing settlement statement (HUD-1), sale and purchase agreement of your U.S. real property, Forms 8288, 8288-A, or/and 8288-B, and other similar documents. We will provide you necessary guidance before the appointment.
(Remote ITIN) – Additional Documents
If we are certifying your passport via a video conference, we must have your passport in our possession during the video conference. As such, you will need to courier your original passport to U.S. TAX IQ on or prior to the date of the video conference. Depending on your situation and whether we are preparing your U.S. tax return and other submissions, you may need to send us originally signed tax return. For any documents that require original signature, we will prepare everything before this step in the process, so that you can courier originals to us prior to the video conference.
Your Appointment
During the meeting, we will verify your identity and certify your passport. You will sign the applicable documents, and we will either take copies of the requested documents or collect supporting documents accordingly.
(Remote ITIN) – Video Conference
During video conference, we will ask you several questions, verify your identity, and certify your passport.
(Remote ITIN) – Passport & Application
Once the video conference is complete, we will courier your passport back to you.
IRS Submission
We will then file the submission, along with the ITIN application, with the IRS. Note that our office will be filing the package. We will provide you with proof of filing, if requested.
ITIN Issued
The IRS will issue an ITIN. In most cases, we will receive a copy. In addition, we may be able to follow-up with the IRS and check on the status of the ITIN application processing.
EIN Process











Scheduling & Payment
The payment of our fees for EIN service is made at the time of scheduling the EIN Service. The EIN service does not require a meeting. Everything can be done online / remotely (of course, if you’d like to visit us, we will be happy to see you!). We may reach out to you with any additional questions or confirmations.
EIN Questionnaire
Once you have scheduled the EIN service and made the payment, you will receive a link to complete an online EIN Questionnaire. Please fill out the EIN Questionnaire at your earliest convenience. We will be using the completed EIN Questionnaire to prepare the necessary documents and to apply for EIN with the IRS.
Additional Documents
Once you have scheduled the EIN service and made the payment, you would be receiving an EIN Questionnaire link. Please fill out the EIN Questionnaire at your earliest convenience. We will be using the completed EIN Questionnaire to prepare necessary documents.
Document Review & Signing
Once you have completed the EIN Questionnaire and provided any additional documents that we have requested, we will send you documents for review and signature. Depending on the type of EIN required (for U.S. domestic or non-U.S. entity), you will either upload to us signed documents or/and courier originally signed documents to our office. Again, we will provide all necessary instructions.
IRS Submission
During this stage, we will apply for EIN with the IRS.
EIN Issued
The IRS will issue an EIN. We will provide EIN to you for your records (it can be just EIN number or/and an IRS website printout). You will receive the original IRS EIN Notice to the mailing address filled out on the EIN Questionnaire. It is very important that you can receive correspondence at that address, since the IRS EIN Notice should be kept in your records and will be necessary when you open bank accounts and take other action with respect to the business entity for which the EIN was obtained.
Additional Steps
There may be additional filings required after the EIN has been assigned by the IRS. We will coordinate any such additional filings with you.

Scheduling & Payment
Our Initial Consultation process starts with scheduling a meeting (in person, by video or by phone). You can choose a desired duration for the consultation, although we would typically recommend a particular length of consultaiton, depending on your tax issue. Because we actually provide you actionable advice and consulting in the first meeting, we do not provide free consultations. As such, you will need to make the payment at the time of scheduling.
Rules of Engagement: Preliminary Administrative Matters
During the initial consultation, we will provide our recommendations and preliminary advice, as well as a fee estimate for any future work. At the end of the meeting, we will typically expect you to make a decision on whether to retain us to do the work. When you decide to retain us, we will proceed with the engagement setup and retainer invoice, as applicable. If you decide not to retain us, you will leave the meeting with an undertanding of your options and how you could proceed. Please be prepared to make a decision. Note that there is no penalty for saying “no” – we fully understand that our services are not for everyone. We are here to help, and you should only work with someone you like and trust.
Factual Review
After we addressed preliminary administrative matters, we will review your facts and documents (as applicable), ask you additional questions, and try to understand your objectives and tax issues you are facing and would like to resolve.
Tax & Legal Framework
We will provide an overview of applicable tax and legal framework so that you understand the tax treatment applicable to your facts and circumstances.
Tax Exposure Identification
At this point, we will identify and review potential tax exposure and any other tax issues that may need to be addressed in your situation.
Overivew of Available Options
We will then review options available to you to address your tax issue or to solve your tax dilemma.
Addressing Your Questions
We will, of course, address all your questions. Note that in rare cases, we may need to follow-up after the meeting in case we may need to confirm certain tax treatment.
Providing our Recommendations and Advice
At this point, we will provide you with our recommendations and tax guidance on addressing your tax issues. If we believe that additional work may be warranted, we will recommend it. Otherwise, you may have everything you need to address your tax concerns based on the Initial Consultation.
Fee Estimate
We will also provide a fee estimate for any additional work, in case we determined it may be required in your situation.
Decision on Retaining Us
In the end of the Initial Consutlation, we will ask you to make a decision to retain us (in case any additional work is needed). When you decide to trust us with your tax concerns, we will start the client onboarding process. If you decide to retain someone else or do not engage us due to any reason, you will have an understanding how to proceed further based on tax advice and recommendations provided during the meeting.

During the initial consultation, we will provide our recommendations and preliminary advice, as well as a fee estimate for any future work. At the end of the meeting, we will typically expect you to make a decision on whether to retain us to do the work. When you decide to retain us, we will proceed with the engagement setup and retainer invoice, as applicable. If you decide not to retain us, you will leave the meeting with an undertanding of your options and how you could proceed. Please be prepared to make a decision. Note that there is no penalty for saying “no” – we fully understand that our services are not for everyone. We are here to help, and you should only work with someone you like and trust.

At this point, we will identify and review potential tax exposure and any other tax issues that may need to be addressed in your situation.

We will then review options available to you to address your tax issue or to solve your tax dilemma.

We will, of course, address all your questions. Note that in rare cases, we may need to follow-up after the meeting in case we may need to confirm certain tax treatment.

At this point, we will provide you with our recommendations and tax guidance on addressing your tax issues. If we believe that additional work may be warranted, we will recommend it. Otherwise, you may have everything you need to address your tax concerns based on the Initial Consultation.

We will also provide a fee estimate for any additional work, in case we determined it may be required in your situation.
STEP 11 - CLIENTDECISION ON RETAINING USDecision on Retaining Us
In the end of the Initial Consutlation, we will ask you to make a decision to retain us (in case any additional work is needed). When you decide to trust us with your tax concerns, we will start the client onboarding process. If you decide to retain someone else or do not engage us due to any reason, you will have an understanding how to proceed further based on tax advice and recommendations provided during the meeting.
